* Searching and indexing.
Keywords recognized from scanned documents are indexed in a database that allows for quick access to them.
* Duplex scanning.
Using your duplex scanner, get your scanning done in ½ the time. Automatically scan both sides of a double-sided page, producing two images at once. Regular scanners must scan double-sided pages by scanning one collated stack of paper, then flipping it over and scanning the other side.
* Customizable of field labels.
Change the names of the field labels in the program to apply to your situation. The following field names can be customized: account name, account number, invoice number, and notes.
Indexing in detail:
To find a document using the standard version of Paper Valet, you need to know the following information about the document: account name, account number, and date. Using this information, you can browse to the document in the View Tab by selecting the account name,then selecting the account number, and finally, choosing the date. This process can take a while if for example; you do not know the document date. You may end up browsing many documents under the account name before finding the one you were looking for. Indexing solves this problem by accelerating the process of finding and retrieving documents.
Paper Valet Pro offers two types of indexing: field-based and full-text.
Field-based indexing provides a controlled way of searching for documents. You can search for documents based on any combination of the fields: account name, account number, invoice number, notes, and date.
Full-text indexing expands upon field-based indexing by allowing you to also search for all recognized words in a document. OCR (Optical Character Recognition — software that translates images of letters entered into the computer with a scanner into characters that can be manipulated as text but not as images), is applied to the document to produce a list of high confidence words to use in the index. Recognized words are rarely 100% accurate, so Paper Valet Pro provides you with the ability to automatically spell check the word list as well as hand-editing the word list. Full-text indexing is available if you have one of the following OCR engines installed:
Microsoft Office 2003, OmniPage Pro 14, or OmniPage Pro 15. Paper Valet Pro will use MODI — Microsoft Office Document Imaging Library to perform OCR if you select Microsoft Office 2003 as your OCR engine.
Important note: Microsoft Office XP does not contain MODI. If you do not have Microsoft Office 2003, or one of the other OCR engines, you can manually enter keywords. In the future, Paper Valet Pro will support additional OCR engines.
After a document is scanned, a record is added to the Paper Valet Pro database which contains the document information. Search keys are added for each word in the full-text or field-based word list that cross reference the document information.
Searching in detail:
Using the Search Tab you can find and retrieve documents that match the search criteria that you enter. Your text is broken into words and the words are looked up in the database. You can also specify wildcards (a special character or character sequence which matches any character in a string comparison, like ellipsis (“…”) in ordinary written text), in a search.
Search results will be sorted with the best matching results first. The results list includes a graphical indicator of the document's relevancy. The indicators are color coded to indicate the quality of the match. Green indicates the best matches, yellow indicates midrange matches, and red indicates poorest matches. The number of bars is used to symbolize the document ranking in the color range.

* Post-processing of documents using any 3rd party application.
Paper Valet Pro lets you run any application after a document has scanned. You can specify the command-line arguments to the application including macros that expand to things like the document's location, the document name, and the account information.
